What to Expect During Your First ABA Assessment

The initial ABA assessment is a cornerstone of quality care. It tells your BCBA where your child is today, what matters most to your family, and how to build a treatment plan that insurance will authorize. Knowing what to expect reduces anxiety and helps you participate fully.

Who conducts the assessment?

A Board Certified Behavior Analyst (BCBA) leads the evaluation. At Grounded & Growing, BCBAs combine standardized tools with naturalistic observation — because your child is more than a score on a checklist.

Where does it happen?

Assessments may occur at our Chicago clinic, in your home, or both depending on the planned service model. Center-based assessments allow observation of social interaction with materials and peers; home assessments reveal behavior in daily routines.

How long does it take?

Plan for 2–4 hours total, sometimes split across two visits. Young children may need breaks, snacks, and shorter segments. A good BCBA follows your child’s pace rather than pushing through fatigue.

What happens during the assessment?

Parent interview

You’ll discuss developmental history, current concerns, strengths, medical background, school placement, and family priorities. Be honest about bedtime battles, mealtime stress, or safety concerns — these shape goals.

Direct observation and skill testing

The BCBA interacts with your child through play and structured tasks. Common assessment tools include:

  • VB-MAPP — Verbal Behavior Milestones Assessment and Placement Program
  • ABLLS-R — Assessment of Basic Language and Learning Skills
  • AFLS — Assessment of Functional Living Skills
  • FBA components — Functional behavior assessment for challenging behavior

These tools identify skill deficits, emerging strengths, and behavioral functions (why challenging behavior occurs).

Record review

Bring diagnostic reports, IEPs, previous therapy notes, and medication lists if applicable.

What should you bring?

  • Insurance card and diagnosis documentation
  • Your child’s favorite snacks, comfort items, or motivating toys
  • List of questions for the BCBA
  • Another caregiver if possible — one can engage while you speak with the clinician

What happens after?

Within days, your BCBA prepares a written treatment plan with:

  • Measurable goals in communication, social, adaptive, and behavioral domains
  • Recommended weekly hours and service setting (center-based ABA, in-home, or both)
  • Crisis or safety plans if needed
  • Parent training objectives
  • Discharge criteria (what “success” looks like long-term)

You review and approve goals before authorization is submitted. This is your plan — not a template.

How assessment connects to insurance

Insurers require assessment documentation to approve ABA insurance Illinois claims. Detailed, individualized plans with clear medical necessity language improve approval rates. Your clinic should handle submission and follow-up.

Tips for a successful assessment day

  • Schedule around nap times when possible
  • Don’t coach your child to perform — natural behavior is most informative

  • Ask how often the plan will be updated (typically every 6 months or sooner)
